We are currently accepting applications for food trucks, food vendors, beverage vendors, coffee vendors, dessert vendors, and specialty drink vendors for our 2027 festival season.

Vintage in the Hudson Valley Festival is a large-scale vintage lifestyle festival featuring live music, shopping, food, antiques, collectibles, fashion, classic vehicles, and family-friendly entertainment.

Our goal is to offer attendees a diverse selection of quality food and beverage options throughout the weekend.

  1. Submit an application with your menu, photos, and business details

  2. Our team reviews submissions to curate a balanced food lineup

  3. Selected vendors receive an approval email

  4. Approved vendors are invoiced to secure their spot

  5. Load-in instructions and final details are sent closer to the event

Important Notes:

  • Submitting an application does not guarantee acceptance.

  • Payment is only required after a vendor has been approved.

  • To ensure a fair review process, we do not accept multiple applications from the same business.

  • Please do not submit duplicate applications or send follow-up emails requesting status updates. All applications are reviewed together, and selected vendors will be contacted directly.

  • Vendor spaces are limited and curated to avoid oversaturation within any one food or beverage category.

Where Food Trucks Are Located

Food trucks are placed in a designated high-traffic food zone designed to support guest flow, visibility, and safety. Placement is determined by the Organizer and may not be changed without written approval.

Event Day Expectations

Food truck operators must:

  • Arrive during assigned load-in times

  • Be fully operational by event opening

  • Remain open for the entire duration of the event day(s)

  • Follow assigned load-out procedures

Early departure or failure to operate as agreed may affect eligibility for future events and does not entitle the Operator to any refund.

Applications are reviewed in batches. Approved vendors will receive an email with confirmation and payment instructions.

Please submit only one application per business. Do not submit duplicate applications or contact us by email regarding the status of your application. Vendors selected for the festival will be contacted directly. Due to the volume of applications received, we are unable to provide individual application updates.

We anticipate making our 2027 vendor selections by January 31, 2027. The official 2027 festival dates will be announced and posted on our website in August 2026.

FAQ's

How are food and beverage vendors selected for the festival?

Food trucks, food vendors, beverage vendors, coffee vendors, dessert vendors, and specialty food vendors go through a juried review and approval process to ensure quality, variety, category balance, and a great guest experience.

We intentionally limit the number of vendors within each category to avoid oversaturation and create a successful event for both attendees and vendors.

Do I pay when I apply?

No. There is no payment required at the time of application. Payment is only requested after a vendor has been approved and invited to participate.

What is the participation fee?

Participation fees vary by vendor category and space type. Food trucks, beverage vendors, coffee vendors, dessert vendors, and specialty food vendors may have different participation fees.

Approved vendors will receive current pricing and participation details upon acceptance.

Are participation fees refundable for any reason?

No. All participation fees are non-refundable once paid, regardless of weather, attendance, sales performance, illness, staffing shortages, equipment issues, scheduling conflicts, or event modification, delay, or cancellation.

Do you guarantee sales, attendance, or profitability?

No. Vintage in the Hudson Valley makes no guarantees regarding sales volume, attendance, profitability, menu exclusivity, or exposure.

Participation is promotional in nature and undertaken at the vendor's sole risk.

Is this event a good fit for my business?

This event is best suited for vendors who are fully licensed or prepared to meet New York temporary food service requirements, can operate independently, are comfortable with a juried and non-refundable structure, and can remain open for the full event hours in a busy festival environment.

When might this event not be a good fit?

This event may not be a good fit for vendors who require guaranteed sales or exclusivity, cannot meet health department or licensing requirements, need to leave early, or are seeking a commission-based or single-day event.

How long does the application review process take?

Applications are reviewed in batches throughout the year.

We anticipate making our 2027 vendor selections by January 31, 2027.

Where will food and beverage vendors be located?

Food and beverage vendors are placed in designated food and beverage areas shown on the event floorplan.

Final placement, spacing, and orientation are determined by the Organizer and may be adjusted as needed for safety, logistics, operational needs, or event flow.

Can I choose or change my placement?

No. Vendor placement is assigned by the Organizer and may not be changed without written approval.

Are electricity, water, or utilities provided?

Utilities are not guaranteed unless explicitly approved in writing.

Vendors are responsible for their own power generation, fuel, water, waste disposal, extension cords, generators, and all equipment necessary to operate their business.

What permits and licenses are required?

Vendors are solely responsible for obtaining and maintaining all required federal, state, county, and local permits, licenses, health department approvals, and inspections.

Proof of compliance may be requested at any time.

What happens if I cannot provide required documentation?

Failure to provide required permits, licenses, insurance, or requested documentation may result in removal from the event without refund.

Is insurance required?

Food and beverage vendors are strongly encouraged and may be required upon request to carry general liability and product liability insurance appropriate for their operations.

Failure to provide proof of insurance upon request may result in removal from the event without refund.

What are the setup and operating requirements?

Vendors must arrive during assigned load-in times, be fully operational by event opening, remain open during all assigned event hours, and follow designated load-out procedures.

Can I leave early if sales are slow or I sell out?

No.

Slow sales, weather conditions, staffing issues, or selling out of product do not permit early departure without Organizer approval.

Vendors are expected to remain onsite for the full event hours.

Can I change my menu after acceptance?

Menu changes must be disclosed and approved in advance.

Significant changes may affect placement or participation if they alter category balance or the overall guest experience.

Who is responsible for food safety and allergens?

Vendors are solely responsible for food preparation, handling, storage, ingredient sourcing, labeling, allergen disclosures, and compliance with all food safety standards and regulations.

The Organizer assumes no responsibility for food-related illness, allergic reactions, or vendor compliance issues.

What conduct is expected from vendors and staff?

All vendors and staff must conduct themselves in a professional, respectful, safe, and lawful manner.

The Organizer reserves the right to remove any vendor that poses a safety, legal, operational, or reputational risk to the event, attendees, or other vendors, without refund.

Will my booth, trailer, truck, products, or staff be photographed or filmed?

Yes.

By participating, vendors grant permission for photographs and video recordings of their business, products, booth, trailer, truck, staff, and operations to be used for promotional, marketing, media, social media, and archival purposes without compensation.

What law governs these terms?

All vendor participation is governed by the laws of the State of New York.
